Why you should move your service reminders to WhatsApp

A year of dealership data on service, MOT and connected-car reminders: who reads them, who replies, who books, and how to get the timing right.

Abstract illustration of WhatsApp service reminders turning into workshop bookings.

We looked at service due, MOT and teleservice (connected-car health alert) reminders sent by dealers on Fuzey between November 2025 and November 2026. Here's what happens when service reminders move to WhatsApp, and what the best-performing dealers do differently.

Aftersales · Service due

From Keyloop data to a booked service.

Keyloop tells Fuzey a vehicle is due. Fuzey sends the personalised WhatsApp message, and Fuzey AI handles the whole booking conversation. The adviser only confirms.

Based on average Fuzey dealer performance for service due reminders, Nov 2025–Nov 2026. Your results will vary.

Timing is everything

  • Service customers first messaged 8+ weeks before their due date book at 39%.
  • Starting 6–8 weeks out gives 20%. Leaving the first message to the final 10 days gives just 6%.
  • Customers book a median of 29 days before their service is due. The busiest window is 31–45 days before (28% of bookings).
  • For connected-car health alerts, messaging the same day the issue is reported converts at 28.5%. That falls to 14.6% if you wait 2–3 weeks.

If you're on BMW, BMW AWP: Teleservice tickets that reply themselves covers same-day teleservice alerts.

A short sequence beats a single message

  • The first message drives 59% of service bookings, and a second reminder adds another 23%.
  • Best practice is up to 3 messages. After the 3rd, responses shift towards "already done" and the ratio of positive replies to complaints halves.

3rd reminder5.3%book

For wording that gets replies, see MOT and service reminders that fill the workshop and Writing WhatsApp templates people actually reply to.

Customers don't find it intrusive

  • Fewer than 1% of customers complain about reminder messages.
  • Opt-out rates are low: service due 1.4% of messages delivered, teleservice 1.0%, MOT 0.6%.
  • On the first service reminder, positive replies outnumber complaints 13 to 1. For teleservice the ratio is up to 18 to 1.

A bonus: cleaner customer data

Around 1 in 3 service reminder replies tell the dealer the vehicle has changed hands or reached the wrong person. That's information a dealer would never get from an unanswered letter or email, and it lets them update their DMS.

See every reminder through to the booking

Sending the reminder is only half the job. The other half is knowing what happened next. Fuzey's aftersales reporting follows every MOT, service and health check reminder from eligible to booked, with the customer and vehicle behind every number.

Example dashboard shown with demo data. Customers often read a reminder and then book online or by phone without replying, so bookings can be higher than replies.

  1. 1
    From eligible to booked

See how many customers were due in the period, how many were contacted, how many booked and how many were lost, with booking and loss rates worked out for you.

  2. 2
    Where customers drop off

The engagement funnel shows sent, delivered, read, replied and booked side by side, so you can see exactly which step needs work: the timing, the wording or the follow-up.

  3. 3
    The leads behind every number

Click any outcome (booked, still open, lost, disqualified or suppressed) to filter the leads list to the customers behind it, with their vehicle, journey, due date and how they engaged. Filter by MOT, service or health check, and export the list in one click.

That's how dealers can see which bookings came from their reminders, which customers still need a nudge, and which were serviced elsewhere. Best-practice checklist

  • Send the first service reminder about 8 weeks before the due date.
  • Follow up around 6 weeks and 3 weeks before.
  • Stop at 3 messages, and stop as soon as the customer books.
  • Send connected-car health alerts the same day they come in.
  • Send service reminders in the morning, 9–11am.
  • Make sure every reply gets an instant answer, including evenings and weekends.

How many service reminders should you send?

Up to three, around 8, 6 and 3 weeks before the due date, stopping as soon as the customer books. After the third message, positive replies fall and complaints rise.
